About the Role
This role is critical in supporting maintenance operations through administrative coordination, document control, and compliance processes, ensuring smooth and efficient day-to-day activities within the maintenance team.
Key Responsibilities
- Provide administrative and logistical support to Maintenance Area Managers and Foremen
- Coordinate meetings:
- Scheduling
- Agenda preparation
- Minute-taking
- Action tracking
- Manage stationery, PPE requests, and inventory records
- Support MOC (Management of Change) and MOCA processes
- Maintain and control maintenance documentation (digital & physical)
- Track and manage overtime forms and approvals
- Assist with preparation for:
- RBI (Risk-Based Inspection) reviews
- Holistic assessments
- 3rd-party audits
- Prepare reports, registers, and presentations
- Ensure compliance with audit and record-keeping standards
- Liaise with internal teams, contractors, and service providers
- Promote a strong safety and compliance culture
- Provide support to broader STO admin team when required
Minimum Requirements
Education
- Grade 12 / Matric
- Relevant qualification in administration, technical, or business (advantageous)
Experience
- 3 – 5 years’ administrative experience, preferably in:
- Maintenance
- Engineering
- Petrochemical or industrial environments
Additional Requirements
- Knowledge of MOC processes (advantageous)
- Experience supporting audits (RBI / Holistic / 3rd-party)
- Strong MS Office skills
- SAP or similar ERP system knowledge (advantageous)
